But sometimes we do need information to provide services that you request. This document is designed to give a clear explanation of PDA ‘s data processing practices. THE INFORMATION WE COLLECT AND THE PRIMARY PURPOSE FOR COLLECTION
The personal information you provide to PDA is being collected for legitimate business purposes, which include processing event registrations or responding to inquiries; keeping you informed about new events, products, or offers; and providing the best possible service to you. Whenever we process data for these purposes, we will ensure that we always take into account and respect your Personal Data rights. The provision of this information is voluntary. However, if you do not provide the information we request, we may be unable to process your event registration or respond to your inquiry. All information provided by you will be held in the strictest confidence according to data privacy regulations.
PDA will not use data for a purpose other than those agreed to by our data subjects (voluntary and community group members, staff, and others). If the data held by us are requested by external organizations for any reason, this will only be passed if data subjects (voluntary and community group members, staff, and others) agree. Also, external organizations must state the purpose of processing, agree not to copy the data for further use, and sign a contract agreeing to abide by GDPR and PDA Data Protection Policy.
We will only collect the personal information that is necessary for the purposes mentioned above. These purposes include, but are not limited to, the following:

- Interest Areas and Preferences
PDA CHAPTER MEMBERSHIP
To provide our members with a personalized and valuable service, we operate several Chapters, which require membership. As outlined for the purposes above, we will also collect information from data subjects during the membership process.
USE OF COOKIES AND LOG FILES
When you visit our website, a cookie (a very small text file) is placed on your device. This information is used for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of PDA’s websites. If you choose to not have your browser accept cookies, you will be able to view the majority of our site; however you will not be able to register as a site member or log in to your PDA account.

INFORMATION SHARING: WITH WHOM WE INTEND TO SHARE INFORMATION AND WHY
PDA adheres to a strict policy according to which we do not rent or sell our customer e-mail lists. We may share your personal information with professional organizations (our event sponsors/exhibitors) to promote similar products and services related to your area of interest. For a specific event, you will be asked in advance for your consent to share your personal information with our event sponsors/exhibitors. If you do not give your consent, your information will not be shared. If you do not consent to share your personal information with third- party organizations for any purpose, please email dataprivacy@pda.org.
No list supplied by PDA may be used by anyone other than for the confidential use of the original intent.
LINKS TO OTHER WEBSITES
PDA’s website contains some links to other websites. Please be aware that PDA is not responsible for the privacy practices of such other websites. This privacy policy applies solely to the information collected by the PDA website.
SURVEYS AND PROMOTIONS
From time to time, PDA may run surveys and promotions and may request information from customers as part of these. Participation in these surveys and promotions is entirely voluntary.
GDPR COMPLIANCE
PDA respects your right to privacy. We ensure all data is managed lawfully, fairly, and transparently. When we use third parties to acquire personal data from our customers, we hold those parties to the same high standard and the same legal requirements.
According to the General Data Protection Regulation (GDPR), you have a right to be forgotten. You also have the right to request your personal data and information related to PDA’s privacy protection policies and processes. SECURITY
Appropriate technical and organizational measures are taken against unauthorized or unlawful processing of personal data and against accidental loss or destruction of data.
PDA takes all necessary precautions to protect your information and is compliant with PCI (credit card processing compliance) requirements. When users submit sensitive information (e.g., a credit card number) over the Internet, we protect it using encryption, such as the Secure Socket Layer (SSL) protocol. Access to all of our users’ information is restricted in our offices. Only employees who need the information to perform a specific task, such as processing an event registration, are granted access to personally identifiable information. The servers on which we store personally identifiable information are kept in a secure environment.
CORRECTING, UPDATING, OR REMOVING YOUR PERSONAL INFORMATION
PDA will make every attempt to keep your personal data accurate, complete, and up to date. If your personal information is incorrect or changes, or if you no longer wish to receive information from PDA, we will endeavor to correct, update, or remove your information as swiftly as possible.
With respect to Registration Information (as defined in the section titled “Protection of your Personal Information”), you may make changes/updates to your personal information by linking to your account at Edit Your Account. Here, you will be able to view your personal information that PDA has on file and make any necessary changes. You may also access and correct your Personal Information and Privacy Preferences (such as specifying whether you wish to receive promotional communications) by writing PDA at:

Please include your name, address, and/or e-mail address when you contact us. In your correspondence, please indicate with as much detail as possible the location on the website or otherwise where you provided your Personal Information.
NOTIFICATION OF CHANGES
PDA reserves the right to amend the Privacy Notice. In such case, the ‘last updated’ date will be amended accordingly and you will be informed via statement prominently displayed on the website.
DATA STORAGE AND RETENTION
The personal data we retain is stored on PDA servers and on the servers of cloud-based database management services located in United States and Germany. PDA retains data for the duration of the customer’s or member’s business relationship with PDA. PDA discourages the retention of data for longer than it is required. All personal data will be securely deleted or destroyed by the lawful period of seven years. During this time, this data will be held in secure storage and destroyed.

CANADA’S ANTI-SPAM LEGISLATION
PDA has taken all reasonable steps to comply with Canada’s Anti-Spam Legislation (CASL). We only email contacts with whom we have had a business relationship within the last two years, individuals who may have inquired about an event in the last six months, or individuals who have opted in to receive our promotional marketing communications. Should you receive an unsolicited email from PDA, please email dataprivacy@pda.org and we will remove your details from our promotional email database within 48 hours.
TRANSFER
The Internet is a global environment. The data that we collect from you may be transferred to, and stored at, international destinations, including destinations outside the European Economic Area (“EEA”). It may also be processed by international staff or data processors outside this area, who may be engaged in, among other things, the fulfilment of your order, the processing of your payment details, and the provision of support services.
PDA will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.
If you do not consent to this transfer, storing, or processing of your personal information, please email dataprivacy@pda.org indicating your wishes.
CHANGES IN PRIVACY POLICY
PDA may change the Privacy Policy from time to time at its sole discretion.
DIRECT MARKETING
If you no longer wish to receive newsletters or other promotional emails or printed promotional materials, you may opt out of receiving these communications. You may opt out of promotional emails by following the unsubscribe link placed in the footer of the promotional email. If you want to opt out of receiving printed promotional pieces, please return the printed piece to us with “unsubscribe” marked on it. Or, you can simply contact dataprivacy@pda.org and ask to be unsubscribed from promotional communications.
INFORMATION ABOUT CHILDREN
The PDA Website, Services, and Materials are intended for professionals in the pharmaceutical industry. PDA does not knowingly collect any personal information from anyone under 13 years of age.
THIRD-PARTY SITES
The PDA Website contains links to other websites at which Personal Information is collected. In such instances, unless expressly indicated to the contrary, the collection and use of your Personal Information will be governed by the privacy policy applicable to that site. That privacy policy should identify the entity that is collecting your Personal Information and for what purpose your data is being used.
GOVERNING LAW
This Privacy Policy is governed by laws of the United States and, more specifically, the laws of the State of Maryland. Jurisdiction for any claims arising under this Privacy Policy shall lie exclusively with the state or federal courts within the State of Maryland.
REFER A COLLEAGUE
If a user elects to use our referral service for informing a colleague about PDA and the benefits of membership, PDA will collect your e-mail address and the colleague ‘s email address and will send an email to that colleague’s address inviting that individual to visit pda.org and providing more information about PDA membership. PDA will also retain your e-mail address and the colleague’s email address and will use the colleague’s email address to contact the colleague with occasional items that may be of interest to potential members. The referred colleague can contact PDA and opt-out of these messages at any time by emailing PDAmembership@pda.org.
